Changing User Roles #

By default, users who sign up are assigned the “User” role, which provides access only to the Employee App. In certain cases, users may need to be upgraded to the “Global Admin” role, granting them access to both the Employee App and the Admin Portal. This guide explains how to change user roles within the software.

Why Change User Roles? #

Upgrading a user to the Global Admin role is essential for users who need to:

  • Create and assign training, forms, documents, planners, and messages.
  • Receive notifications for submissions of forms, log-its, and other items.
  • Access the Admin Portal for managing company-wide settings and features.

Prerequisites #

Before changing a user’s role, ensure the following:

  • The user has already signed up and created an account.
  • You have access to the Admin Portal as a Global Admin.

Steps to Change User Roles #

Follow these steps to upgrade a user’s role to Global Admin:

  1. Log in to the Admin Portal at portal.ranes.com.
  2. From the Main Dashboard, navigate to the Company module in the left navigation bar.
  3. On the Company page, locate the Active Users list.
  4. Search for the user whose role you want to change using the search bar.
  5. Click on the user’s name or the pencil icon to the right of their name to open the user details page.
  6. Under the Role dropdown, select Global Admin.
  7. Click Save Changes to confirm the role update.

What Happens Next? #

Once the role is updated:

  • The user can log in to the Admin Portal using their existing credentials.
  • They will gain access to all Global Admin features, including creating and managing training, forms, planners, and more.
  • They will start receiving notifications for submissions of forms, log-its, and other items.

Best Practices #

  • Limit Global Admin Access: Only assign the Global Admin role to users who require access to sensitive company-wide features.
  • Review User Roles Regularly: Periodically review user roles to ensure they align with current responsibilities.
  • Communicate Role Changes: Notify users when their role is upgraded to ensure they understand their new responsibilities.
